Privacy at a glance

We collect information needed to provide quotes and cleaning services, communicate with customers, operate and improve our website, maintain records, prevent misuse and, with appropriate consent or other lawful authority, send marketing and measure or personalize advertising. We may use service providers for CRM, website hosting, messaging, payments, analytics and advertising. You can withdraw marketing consent, select cookie choices and request access or correction, subject to legal limits.

1. Purpose and scope

This Privacy Policy explains how Senora Professional Cleaning Services Inc., ("Senora Professional Cleaning Services Inc.," "we," "us" or "our") collects, uses, discloses, retains and safeguards Personal Information when you visit senoracleaner.com, submit a form, request a quote, book or receive a service, communicate with us, interact with our advertisements or otherwise deal with us.

"Personal Information" means information about an identifiable individual, as defined by applicable law. This Policy applies to our customers, prospective customers, website visitors, referral contacts and other individuals whose Personal Information we handle in the course of our commercial activities. It does not apply to information that is lawfully anonymized so it can no longer reasonably identify an individual.

This Policy provides notice of our practices. Where consent is required, we will seek consent in a form appropriate to the sensitivity of the information and the proposed use or disclosure. A privacy policy does not replace a separate consent where one is legally required.

2. Accountability and Privacy Officer

Senora Professional Cleaning Services Inc. is accountable for Personal Information under its control, including information processed for us by service providers. Our Privacy Officer oversees this Policy, privacy inquiries, access and correction requests, complaints, consent records, vendor oversight and incident response.

3. Personal Information we collect

The information we collect depends on how you interact with us and which features or services you use.

3.1 Contact and identity information

We may collect your name, email address, telephone number, mailing address, service address, preferred contact method, company name and job title where you contact us on behalf of a business.

3.2 Quote, booking and service information

We may collect information about the property or premises, property type, rooms or areas to be cleaned, requested services, preferred dates, frequency, estimated size, condition, cleaning priorities, allergies or product preferences, parking or building instructions, availability, access arrangements and other details you provide for quoting, scheduling or delivering services.

Please do not send alarm codes, lockbox codes, keys, government identifiers, financial account credentials or other highly sensitive information through a general website form unless we specifically request a secure method. Access information is used only as reasonably necessary to perform the requested service and should be limited to what is required.

3.3 Communications and CRM records

We may retain emails, text messages, web-chat conversations, form submissions, appointment activity, service notes, customer-support records, complaint records, call details and records of your interactions with us. If call recording or monitoring is enabled, we will provide notice where required and may record calls for quality assurance, training, dispute resolution, safety or recordkeeping.

3.4 Photos, videos, reviews and testimonials

We may collect photos or videos that you provide or that are reasonably required to estimate work, document pre-existing conditions, confirm completion, support quality control or resolve a concern. We will seek additional permission before using identifiable property images, a customer's name, a testimonial or other identifiable content in public marketing unless the use is otherwise permitted by law. We may use appropriately de-identified operational images where individuals, addresses, access details and other identifying features have been removed.

3.5 Payment and transaction information

We may collect invoice details, amounts, payment status, transaction identifiers, billing contact information, refunds and service history. Payment card information may be collected directly by a payment processor. We generally receive only limited payment confirmation information and do not need to store complete payment-card numbers in our CRM.

3.6 Website, device and advertising information

When you use our website or interact with our advertisements, we and our providers may collect IP address, browser and device type, operating system, approximate location derived from IP address, referring URL, pages viewed, links clicked, dates and times, session activity, cookie or advertising identifiers, form source, campaign identifiers and information about whether an advertisement or communication led to an inquiry or booking.

3.7 Consent, preference and compliance information

We may maintain records showing when, where and how consent was requested or provided; the notice or policy version presented; email, SMS, telephone and advertising preferences; unsubscribe, do-not-contact and cookie choices; and information reasonably required to demonstrate compliance.

3.8 Information from other sources

We may receive information from advertising lead forms, social-media platforms, referral sources, property managers, contractors, business partners, service providers, public or business directories and other lawful sources. We do not treat information as unrestricted merely because it appears online, and we do not purchase consumer lists for indiscriminate outreach. When someone provides information about another person, they are responsible for having authority to do so.

4. How we collect information

We collect information directly from you through forms, calls, email, SMS, chat, calendars, contracts, invoices and service interactions; automatically through cookies, pixels, tags and similar technologies; from service providers acting for us; and from lawful referral, advertising, business or public sources.

5. How we use Personal Information

We may use Personal Information for the following purposes, to the extent reasonable and permitted by law:

responding to inquiries, preparing quotes and assessing whether we can provide a requested service;

booking, confirming, rescheduling and delivering cleaning services;

communicating about appointments, access, service changes, invoices, payments, feedback, complaints and support;

processing transactions, maintaining accounting and tax records and collecting amounts owing;

managing customer relationships, service history, preferences and quality assurance;

operating, securing, troubleshooting and improving our website, CRM, forms, workflows, communications and services;

measuring website activity, lead sources, campaign performance, conversions and service demand;

sending promotions, cleaning reminders, service updates, review requests or other commercial communications where we have consent or another lawful basis;

creating advertising audiences, exclusions or similar audiences, measuring advertisements and reducing irrelevant advertising, subject to Section 9;

preventing fraud, misuse, security incidents, unlawful activity and threats to people or property;

establishing, exercising or defending legal claims, enforcing agreements and complying with law; and

other purposes that we identify when information is collected, or that you otherwise authorize.

6. Consent and your choices

We obtain consent where required and may rely on express consent, implied consent or another authority permitted by law, depending on the circumstances, sensitivity of the information and reasonable expectations of the individual. We distinguish uses needed to respond to or perform a requested service from optional marketing, behavioural advertising and other secondary uses.

You may withdraw consent to optional uses at any time, subject to reasonable notice and legal or contractual restrictions. Withdrawal does not affect processing already lawfully completed. If essential information or consent is withdrawn, we may be unable to provide a requested feature or service. We will explain material consequences where appropriate.

7. Email, SMS, telephone and other outreach

When you request a quote or service, we may contact you about that request using the contact information you provide. These service communications may include confirmations, reminders, technician or cleaner arrival information, access questions, invoices and support messages.

We send commercial emails and text messages only with consent or as otherwise permitted by applicable law. Commercial electronic messages identify the sender, provide required contact information and include a working unsubscribe method. You may use an email unsubscribe link or reply STOP to an SMS where supported. Message and data rates may apply. Opting out of marketing does not prevent necessary transactional or service communications.

No mobile information will be shared with third parties/affiliates for marketing/promotional purposes. Information sharing to subcontractors in support services, such as customer service, is permitted. Text-message opt-in records and consent are excluded from all other sharing categories and will not be disclosed to third parties.

We make marketing calls only as permitted under applicable telemarketing rules. You may ask us to place your number on our internal do-not-call list. We will maintain suppression records as reasonably necessary to honour your request.

8. Cookies and similar technologies

Our website may use cookies, pixels, tags, scripts, local storage and similar technologies. These may be operated by us or by providers that support website functionality, forms, security, analytics, communications and advertising.

Cookie categories may include essential cookies needed for the site to function; functional cookies that remember settings or support features; analytics and performance cookies that help us understand usage; and advertising cookies that support campaign measurement, remarketing and personalized advertising.

Where required, non-essential technologies will be subject to the choices presented through our cookie banner or another consent tool. You may also use browser controls, but disabling cookies may affect some features. Browser-based "Do Not Track" signals are not uniformly standardized; use the controls we provide and contact us for additional requests.

9. Advertising, customer lists and audience matching

Important advertising disclosure

With appropriate consent or other lawful authority, we may use limited first-party email information for advertising measurement and audience matching with providers such as Google and Meta. This is an optional secondary use and is not necessary to receive cleaning services.

We may use advertising platforms to measure conversions, show relevant advertisements, create remarketing audiences, exclude existing customers from acquisition campaigns, create similar or lookalike audiences and understand campaign performance.

Where permitted, we may disclose a limited identifier such as an email address to an advertising platform through an approved interface. Identifiers may be transformed using a cryptographic hashing process before transmission. Hashing reduces exposure but does not necessarily make the information anonymous. The platform compares the identifier with its users and processes matched data under its own terms and privacy practices.

We do not upload service access instructions, property photos, detailed cleaning notes, payment-card information or other sensitive service information for customer-list advertising. We use first-party information that was collected directly from the individual or through an authorized source, and we maintain consent and suppression records where required.

You may ask us not to use your email address for future customer-list audience matching by contacting the Privacy Officer. Your request will apply prospectively and may take a reasonable period to propagate through provider systems. You may also adjust advertising preferences through the relevant platform and, where available, our cookie controls.

10. Automated workflows and assisted tools

We may use automated CRM workflows to route inquiries, schedule follow-ups, send confirmations or reminders, maintain preferences and organize customer records. We may use software-assisted tools to summarize communications or support customer service. We do not intend to make decisions that produce legal or similarly significant effects about individuals solely through automated processing.

11. When we disclose Personal Information

We may disclose Personal Information to the following categories of recipients, limited to what is reasonably necessary for the applicable purpose:

CRM, website, hosting, form, scheduling, communications, call, email, SMS, storage and security providers, including HighLevel or LeadConnector where enabled;

payment processors, accounting providers and financial institutions;

analytics and advertising providers, including Google and Meta where enabled and subject to your choices;

cleaners, contractors, property managers and operational partners who need information to quote, schedule or perform a requested service;

website, technology and marketing agencies acting on our instructions and subject to appropriate obligations;

insurers, auditors, lawyers, accountants and other professional advisers;

law-enforcement, regulatory, court, government or emergency authorities where required or permitted by law; and

a prospective purchaser, successor or transaction adviser in connection with a proposed or completed sale, financing, reorganization or transfer of all or part of the business, subject to appropriate protections.

Our providers may change. You may contact the Privacy Officer for more information about relevant categories of providers and processing.

12. Processing outside Canada

Some service providers or their systems may be located outside Ontario or Canada, including in the United States. Personal Information processed in another jurisdiction may be subject to that jurisdiction's laws and may be accessible to courts, law-enforcement or government authorities in accordance with those laws. We remain accountable for information transferred to providers for processing and use contractual, organizational and other measures appropriate to the circumstances.

13. Sale of information and business transactions

We do not sell or rent Personal Information to data brokers for money. The limited advertising disclosures described in Section 9 may be treated as "sharing" or a similar regulated activity under certain laws. Where such laws apply, we will provide the choices they require. Personal Information may be transferred as part of a legitimate business transaction as described in Section 11, subject to applicable law.

14. Retention and destruction

We retain Personal Information only as long as reasonably necessary for the identified purposes and applicable legal, accounting, tax, insurance, dispute-resolution and recordkeeping requirements. Retention depends on the nature and sensitivity of the information, the relationship, the possibility of a complaint or claim and legal obligations.

Quote and service records may be retained while an inquiry or customer relationship remains active and for an appropriate period afterward. Transaction and invoice records are retained as required by applicable law. Consent, unsubscribe, do-not-contact and suppression records may be retained longer when needed to demonstrate compliance and prevent future unwanted outreach. When information is no longer required, we delete, destroy or anonymize it using measures appropriate to its sensitivity.

15. Safeguards

We use administrative, technical and physical safeguards designed to protect Personal Information against loss, theft and unauthorized access, use, modification, disclosure or destruction. Depending on the circumstances, these may include role-based access, authentication controls, confidentiality obligations, staff and contractor instructions, vendor review, secure transmission or storage features, backups, monitoring and incident-response procedures.

No method of transmission or storage is completely secure. We cannot guarantee absolute security, but we will use safeguards appropriate to the sensitivity and amount of information, the purposes for which it is used and the risks reasonably foreseeable.

16. Privacy incidents and breaches

If we become aware of a privacy incident, we will take reasonable steps to contain and investigate it, reduce foreseeable harm, correct relevant controls and meet applicable recordkeeping, notification and reporting obligations. Under Canadian law, this may include notifying affected individuals and the Office of the Privacy Commissioner of Canada where a breach creates a real risk of significant harm.

17. Access, correction and privacy requests

Subject to legal exceptions, you may request access to Personal Information we hold about you, ask how it has been used or disclosed, challenge its accuracy and request correction. You may also withdraw consent to optional uses, opt out of marketing, ask to be placed on our internal do-not-call list or request deletion where required or appropriate.

We may request information reasonably necessary to verify identity and protect against fraudulent requests. We will respond within the timelines required by applicable law. In some cases, we may deny or limit a request where authorized or required by law and will explain the reason where permitted.

18. Children and minors

Our website and services are intended for adults arranging cleaning services and are not directed to children. We do not knowingly use information from children under 13 for personalized advertising or customer-list matching. Where a minor cannot provide meaningful consent, a parent or guardian must provide any required consent. Contact us if you believe a child provided Personal Information without appropriate authorization.

19. Third-party websites and platforms

Our website or communications may link to third-party websites, social platforms, payment pages or services. Their privacy practices are governed by their own policies. We encourage you to review them before providing information. This Policy does not control independent third parties acting for their own purposes.

20. Changes to this Policy

We may update this Policy to reflect changes in our practices, technology, providers, services or legal obligations. We will post the revised version with an updated date. If a change materially expands a use or disclosure in a way that requires new consent, we will seek consent as required rather than relying only on the updated Policy.
